BOOKING policy 

  • General
    Policy updated: 11/05/2023 ​ Please note all policy updates are accepted and applied to all new and current bookings. These Terms and Conditions supersede any previous Terms and Conditions distributed in any form. Rosalia Designs reserves the right to change any rates and any of the Terms and Conditions at any time and without prior notice.
  • Terms & Conditions
    The following Terms and Conditions of Service apply to all products and services provided by Rosalia Designs and in the event of any dispute are governed by the laws of England. All work is carried out by Rosalia Designs on the understanding that the client has agreed to the terms and conditions. ​ Copyright is retained by Rosalia Designs on all design work including words, pictures, ideas, visuals and illustrations unless specifically released in writing and after all costs have been settled. If a choice of designs is presented and one is chosen for your project, only that design is deemed to be given by us as fulfilling the contract. All other designs remain the property of Rosalia Designs, unless specifically agreed in writing.
  • Discovery Call & Onboarding Packs
    All new clients prior to bookings must book a discovery call to discuss the needs of the business. This is to be sure their is an understanding of the brief & also questions can be asked. After each call has taken place a Welcome Onboarding Pack will be sent over via email to the client outlining all the details of the booking including a quote. At the time of the customer’s acceptance of the design quotation the booking contract must be signed & a non-refundable payment to be made. All bookings require a 50% deposit unless a payment plan is agreed. By paying the deposit and signing the booking contract form is indicating acceptance of the Terms & Conditions and fully securing your booking date. ​ Unless agreed otherwise with the Client, all design services require a deposit payment before the work can be booked in for the confirmed booking date. The remaining total will be due upon completion of the work prior to upload to the server or release of materials to be sent to you.
  • Client Portal
    Once a deposit has been paid the Client will receive a confirmation email. This email will contain a link to their dedicated client portal to which only the Designer & Client have access to. The client portal will contain all the information about the booking along with any sections for the Client to fill in for their booking. All parts of your online portal must be FULLY filled in & completed no later than 2 days prior to your booking. Any sections that are needed for your booking that are NOT filled in after this time period will result in an automatic cancellation & your deposit will be lost. Information for your booking CAN NOT be provided in any other way and must be added to the client portal. Your client portal will also be used to go over any edits, subscriptions, or drafts during the design process & any connections or payments will be displayed on here too. If you need a bit longer we can reschedule your booking to a later date but a 4-day notice must be given for any rescheduling. Your client portal will be used for any future bookings so please ensure to keep note of your email and password as this will also contain tracking of any previous bookings for your reference.
  • Charges for Other Services
    Charges for any additional services requested during your booking that are over and above the estimated time will be added to the originally booking at ‘Full Price’ and not be discounted. This is due to not being included at the time of the original booking confirmation. If the time cannot be added on to the clients current booking due to another clients upcoming booking, a new booking date with a new deposit will need to be made.
  • Communication & Termination
    It is very important that communication is kept throughout the entire process of design works. ​ It is important to keep to communication & stick to time frames when it comes to bookings. Within your client portal a completion date is stated to when design works will be completed & this will also be the invoice due date. If this completion date is not met due to lack of communication & edits/feedback not being returned within the policy timeframe, then your booking can be terminated & an outstanding balance of the remaining invoice will need to be paid. However, time can be extended if agreed upon with Rosalia Designs if needed & fits within Rosalia Designs current schedule. If communication has not been made during your booking from myself to the client after 2 days, I will be forced to give a discount of 20% for their time. If communication has not been made by the client to me after 2 days of last communication your booking will be cancelled and need to be rescheduled and a new booking deposit will need to be made. This causes a massive delay in designs that are booked in and causes a loss in earrings. I do as a human being completely understand day to day life can become busy and things can get in the way, however if you need more time for due to any unforeseen circumstances then the remaining balance will need to be paid & the booking will be rescheduled for the next available date. Edits & feedback for design works must be given back within 48 hours of receiving these. Any time after this causes delays in getting work completed and can then affect other upcoming bookings. You do not need to be fully available on the days of your bookings, however communication must be returned within 24hours to ensure there are no delays in any work completion. If no communication is given for rescheduling or cancellation of a booking then you will be banned from any further bookings to work with Rosalia Designs. A cancellation fee may also be applied for the time wasted for the weeks/months worth of work being lost.
  • Edits/ Feedback
    It is important that you check thoroughly through all design work and give all feedback and edits within 48 hours. This avoids any delays for any work to be edited or adjusted throughout the project. You must stick to these guidelines to ensure that work is completed on time as this can affect the booking time frame & also can potentially affect my upcoming clients.
  • Rudeness & Respect
    Rudeness & disrespect will not be tolerated at Rosalia Designs. If I feel as if you are being rude or not respecting my policy while working on your design work, your booking can be terminated & cancelled at any time. All work that has been completed will need to be paid on the outstanding invoice sent over. Rosalia Designs does not accept any rudeness or disrespect to myself or my time / policy.
  • Payments
    Invoices are to be paid on the due date stated on your invoice that is sent over via email on completion. The invoice date is usually the date of completion stated on your client portal but can vary depending if Rosalia Designs agrees on any changes to this. Invoices once sent over are due within 24hours. Any late payments can occur a charge of 8% plus the Bank of England base rate for business-to-business transactions. If works have been fully completed and payment is still not made the next step will be taken of each day an 8% charge will be added to the invoice to which 30 days will be given for you to make the payment. Once the 30 day period comes to an end your invoice will be given to debt collector under yourself & business or a court order for the full invoice amount (including all fees). Publication and/or release of work done by Rosalia Designs on behalf of the client, may not take place until all funds are cleared & have been received. All invoices are sent over via email that are created through Rosalia Designs Business Account & can not be made in any other method.
  • Payment Plans
    This payment method will only be offered to you if the booking is over £500. Any bookings under this will require a 50% deposit. Payment plans are scheduled payments to which you can make to breakdown the cost to get your design works booked in. All payment plans are split into 3 payments & must be paid on time in order for the booking to go ahead. 1st Payment - A deposit will be take to confirm & book your design work in. 2nd Payment - This payment will be due 1 week before your booking date. 3rd / Final Payment - This payment will be due once the booking has been fully completed. Only once this payment has been made any files, logins or information can then be sent over & officially released to you. Payment plans are non-refundable.
  • Timeframes
    All design works including websites have timeframes in place for completion which will be displayed in your onboarding pack & in your online client portal. ​ However, if more time is needed on design work due to my lateness in replies or getting drafts or work completed then this will be extended at no extra charge. ​ If work is not completed on the timeframe mention due to the clients lack communication or feedback then the booking can be terminated or an additional fee of £50 per day will be added to the final invoice until the work has been completed. Any indication given by Rosalia Designs of a design project’s duration is to be considered by the customer to be an estimation. Every project that is taken on by Rosalia Designs has a dedicated time frame in place so that any clients after your booking is not affected. If more time is needed this will be stated by Rosalia Designs in a message or via email & will be updated within your client portal.
  • Cancellations
    Cancellation of bookings before or during a booking must be made initially by e-mail. Cancellations must be done within 4 days notice before the design booking. This is to ensure that I can then be able to fit another client into this booking with enough time. ​ If a cancellation notice is not given and the booking date has arrived with no communication then a new deposit will be required to rebooked you in, if no communication is still given then you will be banned from working with Rosalia Designs for any future designs work. A cancellation fee may also be applied for the time wasted for the weeks/months worth of work being lost. ​ If you must cancel your booking unfortunately you will not receive your deposit back as this is a non-refundable deposit which secures the booking date. If you then want to get rebooked in you must pay a new booking deposit.
  • Rescheduling
    If you feel that you need more time to get prepared for your booking, you must notify myself as soon as possible, at latest 4 days before your booking. This is to ensure that I can then be able to fit another client into this booking with enough time. I would then let you know on the next available date I have in my calendar to reschedule this in for you. You will be able to reschedule your booking for the first time free of charge, however if your booking is rescheduled again after this you will need to pay a rescheduling fee of £50. This fee will be required every time you reschedule.
  • Source Files / Native Files
    Rosalia Designs will supply proofs and PDF files as appropriate for printing, or other graphic files as detailed in the job scope or request. Files are sent in the following formats: JPEG, PDF, PNG. SVG, INDD, PSD, AI, FLA
  • Copyrights and Trademarks
    By supplying text, images and other data to Rosalia Designs for inclusion in the customer’s website or other mediums, the customer declares that it holds the appropriate copyright and/or trademark permissions. The ownership of such materials will remain with the customer, or rightful copyright or trademark owner. Any artwork, images, or text supplied and/or designed by Rosalia Designs on behalf of the customer, will remain the property of Rosalia Designs and/or its suppliers unless otherwise agreed in writing. A licence for use of the copyright material is granted to the customer solely for the project defined in the scope or request and not for any other purpose. ​ The customer may request in writing from Rosalia Designs, the necessary permission to use materials (to which Rosalia Designs holds the copyright) in forms other than for which it was originally supplied, and Rosalia Designs may, at its discretion, grant this and may charge for the additional usage. Such permission must be obtained in writing before any of the aforesaid artwork, images, text, or other data is used. Any software, code, plugin or other third-party material used in a web or digital project remains the property of the creator and any ongoing licence fees or fees for upgrades are the responsibility of the client, not Rosalia Designs. By supplying images, text, or any other data to Rosalia Designs the customer grants Rosalia Designs permission to use this material freely in the pursuit of the design. ​ Should Rosalia Designs, or the customer supply an image, text, audio clip or any other file for use in a website, multimedia presentation, print item, exhibition, advertisement or any other medium believing it to be copyright and royalty free, which subsequently emerges to have such copyright or royalty usage limitations, the customer will agree to allow Rosalia Designs to remove and/or replace the file on the site. The customer agrees to fully identify and hold Rosalia Designs free from harm in any and all claims resulting from the customer in not having obtained all the required copyright, and/or any other necessary permissions.
  • Alterations / Revisions
    Branding All alterations and revisions must be given with 48hours once a brand presentation has been presented to you. You have a maximum of 5 revisions on that specific design to make adjustments where needed. However, these revisions need to be presented together and not all separately as these can cause loss of time in getting a design project completed. If multiple revisions are made to a specific design and you decide you would want to try something completely different then a extra charge can occur as this will take up more time to create the new design required and more revisions. Websites Once a website is ready to view for edits & feedback these notes must be given within 48 hours from receiving the website link to view. With websites I will only do a maximum of 5 revisions, this is to ensure that the website is looked at properly by yourself and that every page is checked & all website views are seen for computer, tablet & mobile. If more revisions are needed then an extra charge may occur unless instructed by Rosalia Designs. Once a final invoice has been paid any alterations from this point are chargeable & will need to be booked in to get completed. All work is also agreed upon that all spelling and grammar have been checked by yourself prior to completing all the design works. The customer also agrees that Rosalia Designs holds no responsibility for any amendments made by any third party, before or after a design is published.
  • Changing your whole design during the edits stages
    Branding A branding identity package will be presented to you with only 1 concept. This concept will be based off your notes provided from our call and from your client portal, but also my research & tests with draft designs to then present the best concept that will work for you business. However, if you decide that you want to completely change the whole concept of look & colours from what was originally mentioned from yourself then an extra fee charge may be added. ​ Websites Once the website is presented to you & you decide you want to completely change the whole look & vibe from what was originally agreed then a extra fee charge may be added,
  • On the day of your design works
    I will begin your design works listed at 9am and will communicate via voice notes to keep you updated with the process or any questions. You do not need to be fully available on the day of your booking. This is why its so important to have everything fully filled in on your client portal so that Rosalia Designs has everything needed for your booking. I will then communicate with you when an estimated date when your concept is ready to be presented & communicate throughout the process with updates. However it is important that communication is kept & that yourself as the client communicates back when a message is sent by Rosalia Designs.
  • Booking a Service & the Process
    To ensure about a service or to get booked in you can do this by going onto my website www.rosaliadesigns.co.uk booking a discovery call or existing client call to discuss your design needs. New clients are required to have a discovery call in order for us to have a full discussion about your needs for the business. Existing clients can book via email, messages or existing client calls. Once a call takes place a Welcome Onboarding Pack will be sent over via email with a full breakdown of the booking along with estimated dates and a quote for the design project. If you wish to go ahead with the booking a deposit email will be sent & a required to then secure the booking. A confirmation email will then be sent with a link to their dedicated online portal where all the information will be provided for their booking along with all sections that are needed to be filled in prior to the booking. A to-do list will be displayed on the client portal to which will display due dates for when these need to be completed. Failure to do so can result in a booking cancellation & the clients deposit being lost. You will receive a reminder a week before your booking to ensure that you have everything on your client portal no later than 2 days prior to your booking.
  • Branding Identity Design Concept/Process
    When a brand identity package is put together only 1 concept will be presented to you. This concept takes me around 2 weeks to put together. This concept will be based from what we spoke about on our client call, your notes in the client portal but also my research & design ideas. I will then work on t a few concepts, testing out different methods & ways that we can do the branding. After testing I will then choose the best idea i feel works best for the branding, ensuring that the concept is unique and stands out from the market of other competitors. This concept is presented to you with all the logo variations that will come with the design and will be shown with my notes/reasoning's as to why i created this concept and what i have done . Each of the logo concepts will then be presented in design mock-ups so you can see visually see the branding come to life. This will also ensure to help you get a better vision of the branding on real life images. Once this is presented to you I will then gather your feedback for any edits & changes that are required. The 1 concept basis is used so that we can focus on one design and make adjustments on this if needed without being too distracted with too many options. Edits can be done throughout the entire design and we will make adjustments to the design created if needed.
  • Website Design Process (copy)
    To book in a service you can do this by going onto my website www.rosaliadesigns.co.uk & fill out an enquiry form or booking in a call through my website. I receive a lot of emails and messages and I will aim to respond back to everyone as quickly as possible. All enquiry forms will receive an email response to get themselves booked in for a branding call to discuss their needs further. If a call cannot be arranged, communication via email or messages can also be done to discuss this. Once all the information has been collected from the client of their needs a onboarding pack will be sent over with details of the booking along with a quote within 1 document via email. Within this document a contract link will be attached & must be signed in order to proceed with the booking. To secure the booking date provided & price, a 50% deposit is required within a 7day period. After this time frame if a deposit has not been taken the booking date will be offered to another client. Once a deposit has been taken a confirmation email will then be sent with a link to your dedicated online client portal where all the information will be provided for their booking along with all sections that are needed to be filled in prior to the booking. A to-do list will be displayed on their client portal to which will display due dates for when these need to be completed. Failure to do so can result in a booking cancellation & the clients deposit being lost. The client must purchase their website subscription and any other features noted in their client portal prior to their booking date. This is to ensure connections can be made during the design & setup process. On the morning of your booking, I will start your design works and create these designs for you. Once your website has been fully designed & put together your client portal will be updated with your website link along with a list of any missing bits needed for your website. You will then need to ensure to provide all the missing bits & go through the website to make a list of all your edits and changes required on your online portal. Once I have received your feedback, I would go back to make any edits needed. After edits and changes have been completed, the final invoice is sent over and once paid you will receive a link to accept the transfer of your new website. Once that has been done, I will check to ensure the transfer has been successful with no issues. You will then have ownership to your website and can begin exploring all the features. You will then receive your website details in an email which will contain: Website Login Details Google Login Details Any logins for any other systems A link to video guides, apps to download & tips for your website.

  • Rights of Access for Website Construction
    The client agrees to allow Rosalia Designs all necessary access to computer systems and other locations, as required, in order to complete a website project and until all due funds are cleared, including the necessary read/write permissions, usernames and passwords. The client also agrees to allow Rosalia Designs access to any computer systems, usernames and passwords required to remove data and/or sites for failure to comply with these Terms and Conditions. The client agrees to supply Rosalia Designs with all necessary materials, electronic, or otherwise, required to create and complete the project, and to supply them in a timely manner (48 Hours before your booking date). The client agrees to Rosalia Designs remaining as a contributor to your website for any future needs of design help, as this then allows Rosalia Designs access to your website when granted by the client. Access will not be given unless mentioned from the client.
  • Website Information
    Rosalia designs is not responsible for any of the written wording or information to be provided onto the website. These include all the following: • Privacy Policy • Terms & Conditions • Returns & Exchange Policy • Terms of website • Delivery Policy • Written information on Pages This is the sole responsibility of the business owner to have this information typed up and ready to send to Rosalia Designs with the design forms. All written wording and information must be checked by the client before being sent over to Rosalia Designs to be placed onto the website. Any edits or changes in any of the wording the full paragraph must be sent back with the new edits fully corrected in the written information. Rosalia Designs will not be responsible for replacing words or capital letters as wording is copied word for word. All visual edits & changes will be made as required from your feedback within 24-hour from receiving your website link to view. ​ Once the invoice has been paid, you accept the website is completed and no further edits are required. If any further edits or changes are needed then these are chargeable.
